Delivery & Pickup Policy

Overview

At Pop-Up Party Des Moines, we handle all the heavy lifting so you can focus on the fun. This policy outlines how our delivery, setup, and pickup process works so you know exactly what to expect on your event day.

1. Service Area

We currently serve the Des Moines metro area and surrounding communities. Delivery availability and any applicable fees are confirmed at the time of booking. If you're unsure whether we deliver to your location, contact us at customercare@popuppartydesmoines.com before booking.

2. Scheduling Delivery & Pickup

Your delivery and pickup windows are scheduled at the time of booking. Please note:

  • Delivery windows are scheduled in advance and confirmed in your booking confirmation email.

  • We will contact you 24–48 hours before your event to confirm the arrival window.

  • Delivery windows are typically 1–2 hours. We will do our best to arrive within the confirmed window, but times may vary due to traffic, weather, or prior bookings.

  • Pickup is scheduled at the end of your rental period. Please ensure someone is available at the location during the pickup window.

3. What We Handle

Our team takes care of the following at no additional charge:

  • Delivery of all rented equipment to your event location

  • Full setup and assembly of all items included in your package

  • A walkthrough of how to use the equipment safely

  • Breakdown and pickup of all equipment at the end of your rental period

You do not need to set up or break down any equipment — that's on us.

4. What You Need to Have Ready

To ensure a smooth delivery and setup, please have the following ready before our team arrives:

  • Clear access to the setup area — gates, doors, or driveways should be unlocked and accessible

  • Adequate space for the equipment as outlined in your package details

  • A flat, level surface for setup (grass, pavement, or hard flooring depending on the package)

  • Power access within 50 feet of the setup area for packages that require electricity (e.g., movie night, laser tag)

  • A responsible adult (18+) present at the time of delivery to sign the equipment condition form and receive the setup walkthrough

  • Any required permits or HOA approvals obtained prior to our arrival (see Section 7)

5. Delivery Fees

Standard delivery is included for locations within our primary service area. Locations outside this area may incur an additional delivery fee, which will be disclosed and agreed upon at the time of booking. We will never charge a delivery fee that wasn't communicated upfront.

6. Setup Time

Setup time varies by package. As a general guide:

  • Laser Tag packages — approximately 30–45 minutes

  • Field Day packages — approximately 20–30 minutes

  • Teepee Slumber Party — approximately 45–60 minutes

  • Backyard Movie Night — approximately 30–45 minutes

Please factor setup time into your event planning. Your rental period begins after setup is complete and you have received the walkthrough.

7. Permits & Location Requirements

If your event is taking place in a public park, community space, or an HOA-governed property, it is your responsibility to obtain any necessary permits or approvals before your event date. Pop-Up Party Des Moines is not responsible for delays or cancellations caused by missing permits. We reserve the right to decline setup if access or safety requirements cannot be met upon arrival.

8. Weather & Safety

We monitor weather conditions closely leading up to your event. In cases of severe weather (high winds, lightning, heavy rain, ice, or extreme temperatures), we may need to modify, delay, or cancel delivery for safety reasons. Please review our full Weather & Force Majeure policy in our Terms & Conditions for details on how weather cancellations are handled.

For outdoor setups, we recommend having a backup indoor or covered space available in case conditions change on the day of your event.

9. Equipment Condition at Delivery

All equipment is inspected, cleaned, and tested before every delivery. Upon arrival, our team will walk you through a condition checklist. You are encouraged to note any pre-existing damage at this time. Any damage identified after pickup that was not noted on the intake form may be subject to charges per our Damage & Loss policy in our Terms & Conditions.

10. Late Access or No-Shows

If our team arrives and cannot access the setup location, cannot reach the responsible adult on file, or encounters conditions that prevent safe setup, we will attempt to contact you. If we are unable to proceed after a reasonable wait, the delivery may be rescheduled or cancelled subject to our standard cancellation terms. No refund will be issued for no-shows or inaccessible locations.
